Beyond Management Properties (BMP)- Vendors

Our commitment is simple, build a team of professional vendors and subcontractors with a history of good reputation; therefore, to qualify as a Preferred Vendor you would have to agree of the following terms:

Policies, Procedures and Documents needed:

  • Federal Tax ID Number (TIN) – Complete an IRS Form W9-(see attached).
  • Copies of your Business Licensing (if applicable).
  • $1,000,000 in General Liability Insurance showing Beyond Management Properties LLC as Additionally Insured.
  • Copy of Company’s Workers Compensation Insurance
  • All Vendors should be accessible by phone or email 24/7.
  • Vendors without authorization cannot enter home. If authorized, lockbox combination provided needs to be safeguarded wherever possible and keys need to be returned and place inside lockbox prior to leaving property.
  • Minor present, vendors will not enter an occupied home without a resident over the age of 18 being present.
  • All work orders must be in compliance with federal and stated law and if building permits are needed, it must be pulled out before work starts.
  • All invoices must contain address and unit # and detailed of labor, material, taxes and permits.  A valid Work Order number must be on each invoice.
  • All quotes need pictures before and after work is completed and no other work can commence before agreed and upon approval level.
  • All work must warrant their labor and materials for 90 days and 120 days for amounts of $10,000 after satisfactory completion and will further agree to repair or replace any defective workmanship or material without cost.
  • Vendors are not allowed to discuss property condition or repair approval with residents or owners other than BMP.
  • Vendors agree that only work described on the work order is to be completed and pictures will be loaded to the maintenance system and email. The Property Manager must approve any additional repair items needed prior to completion. On site tenant requests must "not" be honored without prior approval from the Property Manager.
  • While on the site, please inform the Property Manager of any “preventative maintenance” needs noticed. i.e. - water leaks, dripping faucets, or faulty smoke alarms, etc. Report any unusual items such as pet odors or damage to the property caused by the tenant.
  • Shutoff water, if it is necessary to turn off power or water to start work - notify the tenant(s).
  • Clean your work area before leaving the property and remove all scrap materials. If a tenant’s belongings need to be moved, put it back when work completed.
  • All windows or doors you open must be appropriately locked and secured and Ensure all lights are turned off.  If vacant, leave the thermostats at 55 degrees during the winter months.
  • Vendors should not charge for repairs estimates and may not further sub-contract out approved work orders without the written permission of

Billing Process:

  1. Submit your invoice within 5 business days on our Property Meld system.
  2. Payment - the invoice needs to include the following:
    1. Company’s Name, Mailing Address & Phone Number.
    2. Work Order #
    3. Service address and date of service.
    4. Itemized breakdown of material and labor.
    5. Summary of work completed
    6. Pictures of work
  3. To submit an invoice, log in to your Vendor Portal by clicking on BMP.propertymeld.com.
    1. After finishing the Meld in the system you will have the option to create or upload an invoice.

Payment Schedule:

  • Expect payment within 5 - 30 days depending on the time of month your invoice is submitted and availability of funds.
  • Once payment is processed, payment are process within 1 business day via ACH or up to 10 days via mail
